Microsoft Teams Rooms
Microsoft Teams Rooms, installed and managed.
A Teams Room is a meeting room with a fixed camera, microphones, speakers, display and a touch panel on the table. One tap starts the Teams meeting, no laptop or cables. We design the room, install everything with our own team and keep it running afterwards.
What is a Microsoft Teams Room?
Microsoft Teams Rooms is the meeting room edition of Teams. The room has its own Teams account and a fixed set of Microsoft-certified equipment. People book the room in Outlook or Teams; the meeting is waiting on the touch panel and starts with one tap. Remote participants see and hear the room the way they should.
- 01Compute
- A compact PC (Windows) or the video bar itself (Android) runs the Teams Rooms software.
- 02Camera
- Wide angle for small rooms, auto-framing or speaker tracking for larger ones.
- 03Microphones and speakers
- In the video bar, on the table or in the ceiling, matched to the acoustics.
- 04Display
- One or two displays, or an LED wall in a boardroom.
- 05Touch panel
- On the table: start the meeting, share, volume and camera.
- 06Booking panel
- Optional, by the door: a Teams Panel shows whether the room is free (requires a Pro licence).

Windows or Android?
Teams Rooms runs on two platforms. Both are certified by Microsoft; they differ in build and flexibility.
| Teams Rooms on Windows | Teams Rooms on Android | |
|---|---|---|
| Build | Separate compact PC, touch panel and peripherals | All-in-one video bar with touch panel |
| Suits | Mid-size rooms up to boardrooms and halls | Huddle spaces and meeting rooms |
| Displays | One or two, including ultrawide (21:9) | One or two |
| Cameras | Several cameras, also sent at the same time | Switching between in-room cameras |
| Integration with room control | Yes, for example an existing control system | No |
| Installation | More cabling and programming | Quick: few cables, compact on the wall |
Our starting point: Android for small rooms where simplicity counts, Windows where the room is larger or more equipment has to work together. The design explains the choice for each room.
Teams Rooms Basic or Pro?
Every Teams Room is licensed on the room’s account. Microsoft offers two licences: Basic is free, Pro is a paid licence per room.
| Teams Rooms Basic | Teams Rooms Pro | |
|---|---|---|
| Cost | Free with certified equipment | Paid, per room |
| Intended for | One system per room, such as a video bar in a small room | Rooms with more equipment and organisations managing centrally |
| Number of rooms | Up to 25 per organisation | Unlimited |
| Meetings, sharing, joining Zoom and Webex | Yes | Yes |
| Dual displays, Front Row, large gallery | No | Yes |
| Multiple cameras, speaker recognition, AI noise suppression | No | Yes |
| Teams Panel by the door and check-in | No | Yes |
| Management | Automatic updates and inventory | Also peripheral health, remote configuration, analytics, Intune |
Our advice: Basic is enough for a single video bar in a small room. Add a second display, an extra camera or a booking panel, or manage rooms centrally, and you need Pro. Basic is added in the Microsoft 365 admin center, Pro through Microsoft or your licensing partner.

What drives the cost?
No two rooms are the same, which is why we do not list fixed prices here. These are the factors that make the difference. After a site survey you receive a quote per room.
- 01
Size and number of people
Determines the camera, microphones and number of speakers.
- 02
Platform
An all-in-one video bar is simpler than a Windows system with separate components.
- 03
Displays
One display, two displays or an LED wall.
- 04
Acoustics
A reverberant room calls for different microphones or acoustic treatment.
- 05
Building work
Wall mounting, cable trays, floor boxes and integration into furniture.
- 06
Network
Cabling, PoE and coordination with your IT team.
- 07
Licence and management

Frequently asked questions about Teams Rooms
01Is a Teams Rooms Basic licence free?
Yes. Basic is free for up to 25 rooms per organisation and covers one certified system per room. You add the licence in the Microsoft 365 admin center; Microsoft asks for payment details there, but nothing is charged.
02When do I need Teams Rooms Pro?
As soon as a room gets two displays, several cameras or a Teams Panel by the door, beyond 25 rooms, or when you want to monitor and manage rooms remotely from one place. Calling via Teams Phone and management with Intune also require Pro.
03Can a Teams Room join Zoom or Google Meet meetings?
Yes. With "direct guest join" the room joins Zoom, Webex and Google Meet meetings as a guest through the calendar invitation. That works with both a Basic and a Pro licence; we agree per room which services to enable.
04Can we reuse our existing display or camera?
A good display, often yes. Cameras, microphones and the compute unit must be certified by Microsoft for Teams Rooms; existing equipment without certification is usually replaced.
05How long does it take to install a Teams Room?
A small room with a video bar is usually done within a day. Larger rooms with ceiling microphones, several displays or building work take longer. You get the schedule with the quote.
06What does our IT team need to provide?
A resource account in Microsoft 365 per room, the Teams Rooms licence and network connections that meet Microsoft’s requirements. We agree this with your IT team up front and set up the account together.
07Do you also manage Teams Rooms you did not install?
Yes. After a survey we add existing rooms to a management contract, with updates, monitoring and one number for faults.
